Study-Track privacy policy
Effective date: 15 March 2026
How Study-Track uses personal data to operate planning, tracking, and analytics.
Overview
This policy explains how Study-Track Inc. collects, uses, shares, and protects personal data when you use Study-Track. We collect the data needed to operate the service, do not sell your data, and rely on trusted processors under contract.
Data we collect
- Authentication: email address and authentication identifiers handled by our auth provider (e.g. Firebase Authentication), plus sign-in provider details when used (Google, Apple, email/password).
- Profile: display name, username (case-insensitive), profile photo, timezone, optional bio.
- Academic/productivity: class schedules, semesters, events, deadlines and todos (including recurring rules and completion status), study sessions/timers, activity types, planning notes, goals and streaks, achievements, XP/levels, and timetable/calendar imports (including ICS files or ICS URLs you add).
- Social & groups: friend connections and requests, study groups (memberships, invites, and group settings), shared activity snapshots and aggregated statistics, and “por” encouragement notifications.
- Presence & leaderboards: live status used for social/group views (for example: timer running, last active, today’s hours, streak days) and leaderboard snapshots (for example: username, photo, level, total XP).
- Blog/community: interactions such as blog views (aggregated counts), likes, comments/replies, and comment likes (linked to your account when logged in).
- Subscription/billing: Stripe customer and subscription identifiers, billing status, invoices/receipts (we do not store full card numbers).
- Communications: in-app, push, and email notifications (welcome, billing, payment failures, reminders, friend requests, group invites, “por” alerts, review requests, and product updates).
- Support/feedback: messages you send via support/feedback forms (and attachments if you add them).
- Security/anti-abuse: IP address, device/browser metadata, logs, and CAPTCHA verification tokens (e.g., Cloudflare Turnstile) to prevent fraud and abuse.
- Advertising (if enabled): when ads are shown, third-party partners (e.g., Google AdSense) may collect or receive information via cookies or similar technologies to display and measure ads.
How we use data
We use data to provide and improve core features (calendars, study tracking, courses, todos/deadlines, planning notes, goals, achievements/levels, groups, and social tools), sync across devices, and generate statistics and insights (including Premium analytics). We process subscriptions and billing, send service communications you enable, operate public/leaderboard features you choose to use, and protect security, prevent abuse, and diagnose performance issues.
Legal bases (where applicable)
We rely on contract to deliver the service; legitimate interests for security, integrity, and aggregate analytics; and consent for optional features you opt into (for example: push/email notifications and optional product updates where available).
Sharing and processors
We share data only with providers that help run Study-Track: Firebase/Google (auth, Firestore database, storage, functions, real-time database, and cloud messaging), Stripe (payments), Cloudinary (media hosting/CDN), email delivery services (e.g., Resend), analytics (e.g., Google Analytics), CAPTCHA/anti-abuse services (e.g., Cloudflare Turnstile), and advertising partners if ads are enabled (e.g., Google AdSense). They act as processors under safeguards. We may disclose data to comply with law or protect rights, safety, or the service.
Cookies and similar tech
Web sessions may use cookies or local storage to keep you signed in, remember preferences, enable analytics, support payments, and (if enabled) display ads. You can control cookies in your browser; some features may not work if you block them.
Storage and security
Data is stored in Firebase Firestore with real-time sync, and some real-time social features (like presence and leaderboard snapshots) may use Firebase Realtime Database. Firestore/RTDB security rules are designed to restrict access to your data and manage sharing access. We use encryption in transit, access controls, and monitoring, but no system is perfectly secure. Contact us immediately if you suspect unauthorized access.
Retention and deletion
We retain data while your account is active and do not automatically purge your academic data. You can deactivate your account in Settings to pause access without deleting your data (for example: hiding your profile from social views/leaderboards). You can delete your account in Settings to remove personal data from active systems; backups or logs may persist briefly for security, recovery, or legal compliance.
Social sharing and visibility
If you use social features, friends and group members may see your username, name, photo, and aggregated study statistics or snapshots you choose to share. If you enable a public profile or appear on a public leaderboard, the information shown there can be viewed by anyone with the link (or on the leaderboard). Sharing is designed for aggregated data, not raw events, but anything visible to others can be copied or screenshotted.
Your choices and rights
You can access, update, export, deactivate, or delete data in Settings where available, or contact us. Control notifications in Settings and your browser/OS; transactional emails may still be sent when necessary. Limit analytics via browser privacy controls or blocking cookies. Where applicable (e.g., EU/EEA/UK), you may request access, correction, deletion, restriction, or objection.
International transfers
Data may be processed in regions where we or our providers operate. Where required, we rely on safeguards such as standard contractual clauses.
Children
Study-Track is not directed to children under 13 (or the minimum age in your region). Do not use the service if you are under that age.
Changes
We will post updates here and notify you in-app or by email for material changes when required. Continued use after changes means you accept the updated policy.
